Privacy Policy

TeachKoala is built for teachers, and we treat your planning work the way you would want a colleague to: it is yours, we hold as little as possible, and we never sell it or use it to train AI models. This policy explains what we collect, why, and the choices you have. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

1. What we collect

Account details. When you sign up, our sign-in provider (Clerk) collects your name, email address and sign-in method on our behalf.

Your teaching content.The topics, notes and settings you enter, and the lessons and unit plans generated for you. If you use TeachKoala signed out, this content lives only in your browser’s local storage; when you sign in, it also syncs to our database so it follows you between devices.

Uploaded documents. Word documents you provide (such as an example unit plan) are read inside your browser — the file itself is never uploaded to our servers. Only the extracted text you choose to use is sent as part of a generation request.

Usage and billing records. We meter each AI operation (what kind, when, and its computed cost) to run fair monthly allowances. Payments are processed by Stripe; we receive subscription status and a payment reference, never your full card number.

2. Student information — please keep it out

TeachKoala is a tool for teachers and does not need personal information about students. Please do not include identifying student information in notes or uploads. We do not knowingly collect children’s personal information, and if we become aware we hold any, we will delete it.

3. How we use your information

We use your information to: generate the materials you ask for (your prompts and relevant content are sent to our AI providers for processing); store and sync your library; operate allowances, billing and referrals; keep the service secure and debug problems; and send service messages. We do not sell personal information, use it for third-party advertising, or permit our AI providers to train their models on your content.

4. Who we share it with (our processors)

These providers process data to run TeachKoala:

  • Clerk — authentication and account management
  • Vercel — application hosting, and the AI Gateway that routes generation requests
  • AI model providers (such as Anthropic) — process generation requests via the gateway; not used to train their models
  • Neon — the database holding your synced library
  • Stripe — subscription payments
  • Openverse — receives only the photo search terms from your slides (never your account details)

These providers operate largely in the United States, so your information is disclosed overseas (primarily the USA). We choose providers with strong security practices and use them only for the purposes above. Beyond these processors, we disclose personal information only if the law requires it.

5. Cookies

TeachKoala uses cookies for signing in (Clerk) and one first-party cookie to remember who referred you, so their reward can be credited. We do not use advertising or cross-site tracking cookies.

6. Security

Your data is encrypted in transit, held with the providers above under their security programs, and access to production systems is limited. No internet service can promise perfect security, but if a data breach is likely to cause you serious harm we will notify you and the OAIC as the Notifiable Data Breaches scheme requires.

7. Retention and deletion

Your library is kept while your account is active so it keeps working for you. Deleting a lesson or unit removes it from your devices and our database. If you ask us to close your account, we delete your account details and library, keeping only what we must retain for legal, billing or dispute purposes (such as Stripe transaction records).

8. Access and correction

You can see and edit almost everything we hold about you in the app itself (your library, your plan, your usage history). For anything else — a copy of your data, a correction, or deletion — email support@teachkoala.com and we will respond within 30 days.

9. Complaints

If you think we have mishandled your personal information, contact us first and we will try to put it right. You can also complain to the Office of the Australian Information Commissioner (oaic.gov.au).

10. Changes and contact
